Where can I find it? Company >>> Default settings >>> Booking preferences
In this section of your dashboard, you can define and customize your booking preferences. From here, you will manage key parameters for your day-to-day business, such as cut-off time, advance sales, and booking hold times.
Additionally, you can configure your changes and cancellation policies, deciding whether your customers can modify or cancel their bookings directly and under what conditions.
If you wish to apply these settings individually to a specific service, you can consult this article.
Cut-off Time
The cut-off time indicates the minimum advance time required for a customer to make a booking before the activity starts. You can configure it in days, hours, or minutes.
"Call to consult availability" option: If the cut-off time has already passed and the booking cannot be made directly, you can enable a checkbox instructing the customer to call to check availability. You can consult this article to learn how to configure this option.
Future Days (Maximum Advance Sales)
This option allows you to limit how far in advance a customer can view availability and make a booking. It can be set by specifying a limit in days or months. (e.g., As the rule is defined as the current month plus one month, if we are in October, the maximum availability displayed to the customer will be for October and November.)
Apply to Back-office: Check this box if you want your team members operating from the internal panel (Back-office) to also have their date visibility restricted to this limit. If left unchecked, the Back-office will not apply this limit, and your team will be able to view and enter bookings for dates further in the future.
Booking Holds
This feature manages the length of time the system blocks and holds seats for a customer while they complete the checkout process. You can schedule the removal of bookings with incomplete payments by selecting from the following time frames: 5, 10, 15, 20, 30, 45, 60, 90, 120, or 180 minutes.
When the user completes the form with their booking details and proceeds to the payment gateway, the system automatically creates a booking in Pending status to hold their seats and prevent overbooking.
If the payment is not completed within the selected time frame, the seats are automatically released and become available for other customers to book.
Changes and Cancellations
From this block, you can control modification permissions based on who performs the action:
1. For internal users and agents
Allows you to limit the window within which your agents and dashboard users can modify or cancel upcoming bookings.
You can set the rule to disallow editing or canceling bookings with less advance notice than the specified days, hours, or minutes.
This applies to your resellers and agents whether they operate from the Back-office or manage sales through the API.
2. For customers (end users)
Services with the pickups (transfers) feature enabled will not be compatible with this functionality.
You can enable various automated actions for your customers to self-manage their bookings:
Allow data editing: Allows the customer to modify their personal information up to the configured window of days, hours, or minutes before the event.
Allow rescheduling: Gives the customer the option to change the date or time of their booking up to the defined window.
Allow modifying the number of guests (pax): The customer can adjust the number of participants within the established limits.
-
Allow canceling the booking: The user can cancel their booking up to the specified deadline before the event date. You can also configure the following details:
Cancellation notes: You can write a custom text with your conditions that the customer must read before confirming the cancellation.
Cancellation policy page: In this field, you can paste the URL where your cancellation policy is published so that it remains visible to the user throughout the process.
