Mastering the Booking Form setup is essential for customizing the purchasing experience to fit the needs of each service. Whether you need to request specific details—such as verifying prior experience or collecting ID numbers—the system provides complete flexibility to capture all necessary data.
Recommended Configuration Strategy:
Company Level (Default): Allows you to establish a general standard across all or most of your services. It is the ideal place to define global elements, avoiding the need to manually replicate them for each new service. To apply this global form to a specific service, go to Services >>> PX (Desired Service) >>> Booking Form and check the "Use company default form" box.
- Service Level (Custom): Allows you to adjust or add specific fields exclusively to the services that require them.
Form Questions
To manage the information collected from your customers during the booking process, you can customize your form fields by navigating to Services >>> PX (Desired Service) >>> Booking Form. You can perform the following actions:
Add questions: Select any of the available options in the bottom panel to add a new field. Formats include default and custom types (short text, long text, checkbox, and custom HTML).
Reorder fields: Click and hold the left mouse button over the question, then drag it to the desired position. This order will be reflected identically on the booking widget seen by customers.
Delete questions: Click on the red cross icon (X) located next to the field you wish to remove.
The Booking Form allows you to add and customize various field types according to the information required for your services:
Standard Free-Text Fields
Personal and contact details: Full name, email, phone, landline, language, National ID Card, age, and date of birth (displayed as a drop-down calendar to select the date of birth).
Location and accommodation: Country, locality, address, postal code, hotel, and room.
Additional information: Comments.
Legal and Marketing Checkboxes

Terms and Conditions: A essential legal requirement. Once configured, a clickable link will appear so customers can read your conditions in a new tab before accepting.

Newsletter: Required for data protection compliance if you send regular newsletters. It is recommended to leave it unchecked by default, always visible in the widget, and optional.
Custom Text Fields
Custom Question (up to 6 fields): Ideal for brief, individual responses.
Large Custom Question (up to 2 fields): Designed for explanations or more detailed answers.
Custom Checkboxes
Custom Checkbox (up to 3 fields): Allows you to add custom text that the customer can check (e.g., "I am lactose intolerant").
Custom Label Checkbox (up to 3 fields): Allows you to add custom text with an embedded hyperlink. Use square brackets to specify the words that will act as the link (e.g., "Click [this link] to view the menu").
Custom HTML Fields (Dropdown Menus and Notices)

Custom HTML (up to 5 fields): Allows you to insert dropdown menus (
<select>lists) or plain informational text.-
Dropdown menu example:

File Upload
Upload file (maximum 1 document): Adds a button for the customer to attach a document to the form.

Visibility and Required Fields
Each form field features two configurable parameters: "Show" and "Required?". Both are managed via a dropdown menu with four options:
Never: Completely hides the field or removes its mandatory requirement.
Widget: Applies the setting exclusively to the online booking process on the website.
Back-Office: Applies the setting solely to manual bookings managed internally.
Always: Enables the display or requirement of the field in both the widget and the back-office.
In the Email field, enabling the Verify email checkbox prompts customers to confirm their email address by entering it a second time, preventing typos in booking confirmations.
"Repeat" Function
This option allows you to collect accurate information from each participant and simplifies sending future promotions or specific notices to your entire attendee base. Checking the Repeat box for a field automatically duplicates that question for each selected ticket. If a customer books for four people, they must fill in the required details for each attendee.
When the Repeat function is enabled, the system treats each ticket as an individual booking. For example, a purchase of 5 tickets will generate 5 separate bookings in your panel.
Booking Widget Behavior:
Buyer Email: Belongs to the account holder completing the transaction. If details are repeated per ticket, a confirmation email containing a unique QR code and individual booking reference will be sent to each provided address, allowing attendees to access the event independently.
Non-repeated Fields: General fields without an active repeat checkbox will only be requested on the first ticket.
Autofill Option: This feature can be found at the top of the Booking Form section under the name "Multi-client". When enabled, customers will see an Autofill button on the first ticket to automatically copy their information to the remaining tickets.
