Where can I find it? Services >>> PX (Desired Service) >>> Schedule.
In this article, we explain everything you need to know to fully manage the availability of the same schedule across multiple services: from creating and managing the shared schedule, to how to generate and close events jointly or separately in your services.
You can consult this article to learn more about how to create and manage your schedules.
How to Create a Schedule
To create a new schedule for your Tour/Activity type service, go to the Services tab >>> PX (Desired Service) >>> Schedule. Once inside, you will see the Schedule to use section.
When you create a new service, a default schedule is created and assigned a generic name. You can modify this name by clicking on "Rename?" to make it easier to identify when you share it.
You can also create a completely new schedule by clicking on the selector and choosing the "Create a new schedule" option:
After confirming the action, you can enter the name of the new schedule, click the "Create" button, and start adding weekly or daily events to the new schedule:
How to Share a Schedule
To share a schedule, you must assign it to two or more services. To do this, go to each of the services you wish to link, via the Services tab >>> PX (Desired Service) >>> Schedule >>> Schedule to use.
Once you select the desired schedule in each service, a message will appear indicating how many services are currently using it.
Remember that any change you make to the schedule will appear in all the services that share it.
However, sharing a schedule does not mean you are sharing the availability (or resources) between those services. You can consult this article if you want to know more about resource availability.
Adding weekly repeating events
To add a schedule that repeats weekly for the entire year or a specific month, go to the Services tab >>> PX (Desired Service) >>> Schedules >>> Add events that repeat on a weekly basis.
Creating schedules in this section of the panel will automatically generate the events in all services that share this same schedule.
First, select whether you want to add events for the entire year or if you prefer to limit them to a specific month.
Next, you must add the times to the events row of your booking system. With this option, you will create events that repeat by day of the week at the time you specify.
Simply add the time on the desired days and click on "Add new event row". Keep in mind that if you add an event on Mondays and Thursdays at 10:00, the system will automatically generate an event at 10:00 for all future Mondays and Thursdays for all the services that share this same schedule.
There is a trick that can be very useful to save time: when you add the first time on Monday, double-click and that same time will automatically be copied to the rest of the days of the week.
Add individual events
This option is designed to add extra events that are not part of your regular calendar, either for a single occasion or for a limited time range (less than one month). Here, you can select whether you want to create the individual event only for the service from which you are managing it, or if you prefer it to be generated in all services that share the same schedule.
To manage these cases, go to the Services tab >>> PX (Desired Service) >>> Schedule >>> Add individual events.
To add events on a single day, simply type or select the required date and time, and then click the "Add" button. If you click the "This service only" checkbox, the event you create will be generated only for the service from which you are managing it.
If, on the contrary, you leave it unchecked, the event will automatically be generated in all services that share this same schedule.
To add events within a specific time range, click the "Date | Range" option.
A new field will appear where you can select the "From" and "To" dates and choose the event time. Finally, click "Add" to create the events throughout that period. If you click the "This service only" checkbox, the events you create will be generated only for the service from which you are managing it.
If, on the contrary, you leave it unchecked, the events will automatically be generated in all services that share this same schedule.
All these events will appear listed below as individual events. They will be indicated with the "Service" label if they have been generated only for this service; and they will appear without a label if they have been generated for all services that share this same schedule.
To delete any of them, simply click on the corresponding red X icon.
To improve the loading speed of the Widget, we advise deleting past events periodically.
How to Close Events
To close specific event hours, entire days, or whole months on your calendar, go to the Services tab >>> PX (Desired Service) >>> Schedule >>> Close single events, full days or entire months.
If you click the "This service only" checkbox, the events you create will be generated only for the service from which you are managing it. If, on the contrary, you leave it unchecked, the events will automatically be generated in all services that share this same schedule.
As shown in the panel legend, the formats for each type of closure (specific event, full day, or full month) will be those shown in the example below.
All these closed events will appear listed below. They will be indicated with the "Service" label if they have been generated only for this service; and they will appear without a label if they have been generated for all services that share this same schedule.
To reopen any of them, simply click on the corresponding red X icon.
If, on the contrary, you wish to perform a closure that affects all your services and not just one, you can consult this article on how to carry out seasonal or maintenance closures.
