Where can I find it? Company >>> Resource Manager.
Many businesses need a powerful way to manage their fleet of resources (such as boats, cars, buses, or guides). This feature allows you to share and manage the capacity of your resources across multiple services. Below, we'll explain the most common scenario: a bus that shares its seats among several services.
Please note that this section of our Help Center on Resources contains additional examples that may be applicable to your company's specific needs.
Resources can be configured in many ways, not just as we've explained in this tutorial. If you have any questions, please feel free to contact us through the More [+] button of your TuriTop panel.
How to create a new resource
Step 1: Go to the Company tab >>> Resource Manager
The first thing you must do is create the resource, which in our example will be a 12-seat bus. Write the name of your resource and press the "Add" button.
Next, you will see that new options appear:
Step 2: Configure your resource
If you will be sharing a resource with multiple services, it is necessary to configure it in the following way:
-
- In the quantity field, enter the value "1," as you only have one bus. If you had more buses, you would need to enter the number of them.
- In the seats field, enter the value "12," as the bus has twelve seats.
For our current example, we will check the box for "Assign a resource to a single event duration," since the bus, once it departs, does not return until the event's duration has ended.
- Assign this resource to a single event duration: If you want to know more about this functionality, click here.
- Weekly/daily quantity variation (Optional): If you want to know more about this feature, click here.
How to share the resource
Step 1: Assign the resource to the service
There are two things you must do to correctly associate a resource with a service.
First, go to the Services tab >>> Select the service >>> Service Details and configure the event duration. For example, in this case, it is a 4-hour museum visit.
Next, go to the Tickets section and, in the first box, "Use shared resource seats," choose the resource to use. In our example, we would select "bus."
You can share your resource with as many services as you need. Once you have done this, the moment a booking is made for one of them, the bus will be assigned to that service for the event's duration or until there are no more seats available.
Let's look at an example:
A booking has been made for the service P16 - Visit Museum, which starts at 09:00 AM and lasts 4 hours. Since this service shares the bus resource with P17 - Visit City, the P17 service will remain closed, as there will be no bus available at 09:00 AM.
Furthermore, because the Visit Museum event lasts 4 hours, the 11:00 AM services (for both P16 and P17) will also be closed.
To have the 11:00 AM event for the P16 - Museum Tour service open for reservations, we would have to uncheck the box "Assign a resource to a single event duration," as we did in Step 1 when configuring the resource.
In the following image, we can see how the resource's availability is shared between the 9:00 AM and 11:00 AM slots for the P16 - Visit Museum service.
The 11:00 AM slot takes into account the seats already booked for the 9:00 AM slot. On the other hand, the 9:00 AM and 11:00 AM slots for the P17 - City Tour service are closed because the resource is being used exclusively for P16.
Another way to share a resource
Another way to share a resource is when you need to share the seats of a resource among several services. For example, if you have a bus that leaves at a specific time and can share its 12 seats across various services.
In this case, the configuration, as we did in Step 1 of this tutorial, would be the following:
- In the seats field, enter the value "1," as each booking in a service represents one seat.
- In the quantity field, enter the value "12," which is the total number of seats on the bus (and this is what would be shared individually among all services).
- Here, we will check the box for "Assign a resource to a single event duration," depending on whether we want overlapping events to remain open for bookings or not, as we showed in the two examples from Step 1. For the example below, we will not check it.
Let's look at an example:
A booking has been made for the service P16 - Visit Museum, which departs at 09:00 AM and uses 7 spots.
Since it shares the "bus" resource with the P17 - Visit City service, both services will show 5 remaining available spots, as seen in the following image.
