The open schedule service type is ideal for business models that require selling access without the need to assign specific dates and times, or to maintain strict capacity control per time slot.
Some examples of use include:
- Free-Access Tickets: Tickets for a museum or gallery with entry at any time during its opening hours.
- Flexible Vouchers: Passes that grant access to a service over an extended period.
It is essential that the provider clearly informs the buyer how to enjoy the purchased service. This information must be visible and detailed in the reservation confirmation email or on their website, specifying the exact redemption procedure: whether the customer must contact them by phone to schedule the service, whether they should present themselves at the location with the ticket during open hours, or any other specific instruction necessary to validate and enjoy their purchase.
Configuration and Functioning
To create an open schedule service, you must navigate to the Services tab, select "Create new service" and, once the name and service type have been entered, select the "Open" booking flow under the advanced options.
The configuration of this type of service is very similar to that of a tour/activity type of service. The distinguishing feature is that it functions similarly to a gift voucher, dispensing with a specific event date.
This way, the ticket does not have a set reservation date; instead, it is configured with a number of expiration days after purchase. This validity must be defined in the Services tab >>> PX (Open Schedule Service) >>> Schedule >>> Open Schedule Settings.
Booking Management and Viewing
When a booking is made for this open schedule service, you will be able to see in the Bookings tab that the reservation date field will display a validity period based on the number of days configured from the moment of purchase. This date field will never transform into a specific "event date."
You can use the "Confirm check-in" option from the Bookings tab. This provides you with a clear record of when the open ticket has been effectively redeemed or used by the customer.
Capacity and Calendar Considerations
Because there are no events with specific dates and times, you should note that the seating restriction per event found under Services tab >>> PX (Open Schedule Service) >>> Tickets >>> Capacity per event is not a true restriction per event.
This restriction acts as a global limit for all tickets collectively per purchase. That is to say, in this case, the maximum number of tickets I can purchase at once would be 20.
If you want to restrict a specific ticket type to a maximum number of seats, you can do so under the Services tab >>> PX (Open Schedule Service) >>> Tickets >>> [Ticket Type] >>> More >>> Max.
Furthermore, the calendar or booking widget shown to the user does not have date and time selection, but only displays the ticket types available for purchase.
Gift Voucher Considerations for Open Schedule Services
Due to the nature of the open schedule service type, it does not assign specific dates and times to events, as its purpose is to waive strict capacity control per time slot.
Since this voucher only includes a maximum validity date and is not linked to a specific event on the calendar, the beneficiary will not be able to redeem it directly for a date through the system (unlike a voucher for a tour/activity service).
Therefore, this format is not designed to be automatically forwarded to the final beneficiary. The intention is for the voucher to be printed and delivered in physical format to the final recipient.
The beneficiary must contact the provider of the activity or go to the establishment with the voucher within the hours established by the provider to redeem it. The purchase confirmation email for this type of gift voucher will look like this:
Furthermore, open schedule services will not be available for manually generating gift vouchers from the back-office under the Calendar tab >>> Create a gift voucher.
