Where can I find it? Company/Services >>> Channel Manager >>> GetYourGuide
In this article, we will explore how to manage the availability of a service that offers booking options for one to four seats for sale on the GetYourGuide platform.
We will use a 4-seater quad bike tour as an example, although this setup applies to any multi-vehicle hire service or sports equipment hire.
In this model, the vehicle is managed as a single unit, regardless of whether it is occupied by one, two, three or four passengers.
Creating Services and Limitations
Due to limitations on custom ticket names on the GetYourGuide platform (as detailed in the connection tutorial), we must have at least two services in TuriTop:
- Original Service: The base service, e.g. "Quad" with 4 tickets: "1 pax", "2 pax", "3 pax" and "4 pax".
- Additional Services:
- A second service which we will call, for example, "Quad 2 pax GYG".
- A third service which we will call, for example, "Quad 3 pax GYG".
- A fourth service which we will call, for example, "Quad 4 pax GYG".
By creating these four services, we can link the "Quad" service with its "1 pax" ticket to an Option (Individual Quad) within a product on GetYourGuide, as well as the other services to different options within that same GetYourGuide product: "Quad 2 pax GYG" with its "2 pax" ticket to another Option (Double Quad), "Quad 3 pax GYG" with its "3 pax" ticket to another Option (Triple Quad), "Quad 4 pax GYG" with its "4 pax" ticket to another Option (Quadruple Quad).
Configuring the "Quad" Resource and Base Service
Step 1: Creating the Resource
To begin, we will create the resource from the Company tab >>> Resource Management, naming it "quad". We will assign it a Quantity of 2, as we have two vehicles in our example, and a capacity of 4 Seats, which corresponds to the maximum capacity of each vehicle. This will result in a total of 8 available seats.
Step 2: Creating a Service and Linking the Resource
The next step is to create our service and link the relevant resource.
From the Services tab >>> Create new service, we will generate a tour/activity service called "Quad".
Once created, we must link the "quads" resource from the Tickets section, selecting it from the "Use shared resource seats" drop-down menu. We will also set a restriction of 8 seats per event, which is the total capacity of the 2 vehicles.
Finally, we will create the relevant tickets for this service. In this case, all tickets (“1 pax”, “2 pax”, “3 pax” and “4 pax”) will occupy four seats. This ensures that, regardless of whether the booking is for one, two, three or four people, the entire quad will always be reserved and occupied.
Here, we will also set the price per full quad on each ticket, as payment is per vehicle and not per person occupying it.
Configuring the New "Quad X pax GYG" Services
These new services will be linked to new options within your product on GetYourGuide and must be configured as follows in TuriTop.
From the Services tab >>> Create new service, create three new services named, for example, "Quad 2 pax GYG", "Quad 3 pax GYG" and "Quad 4 pax GYG".
The basic configuration must be identical to that of the original "Quad" service, thus assigning the same duration, times and the same resource: in our case "quad", with their capacity (e.g. 2 quads with 4 seats each).
On the other hand, and unlike how the original service was configured, in this case we will tick the box for “Assign a resource to a booking”. This ensures that vehicles are always assigned in full to a booking, even if they have one seat left free.
Remember that two or more services can share the same timetable. You can find out more about how to share your timetables in this article.
Another difference is that, for these new services, we will only create the ticket that corresponds to their occupancy; they must be configured to occupy one seat and have the base price of the "Quad" service, i.e.:
- The "Quad 2 pax GYG" service will have a single ticket created, which we have named “2 pax” and occupies 1 seat. Price in our example: 100 euros.
- The "Quad 3 pax GYG" service will have a single ticket created, which we have named “3 pax” and occupies 1 seat. Price in our example: 100 euros.
- The "Quad 4 pax GYG" service will have a single ticket created, which we have named ‘4 pax’ and occupies 1 seat. Price in our example: 100 euros.
By ticking the "Assign a resource to a booking" box, the system ensures that any booking of a ticket on the GetYourGuide platform, whether for 1, 2, 3 or 4 people, immediately reserves an entire vehicle, ensuring that the quad bikes are not booked multiple times and maintaining precise control over available units.
Mapping Tickets Across Each Service
In this step, we will link TuriTop tickets with GetYourGuide tickets as follows, as explained in the connection tutorial.
Step 1: Map Tickets for the "Quad" Service
Go to Services >>> "Quad" >>> Channel Manager >>> GetYourGuide.
Link only the "1 pax" ticket to the corresponding ticket on GetYourGuide.
Step 2: Map Tickets for the "Quad X pax GYG" Services
Go to Services >>> "Quad X pax GYG" (each one) >>> Channel Manager >>> GetYourGuide.
Link only the existing tickets for each service (i.e. "2 pax", "3 pax" and "4 pax" respectively) to the corresponding ticket on GetYourGuide.
Creating Options on GetYourGuide
Once the mapping is complete, you will need to obtain the TuriTop product ID for each service and link it to a different option on GetYourGuide.
Step 1: Obtain the TuriTop Product ID
Once you have finished mapping your tickets by completing the previous step, tick the option "Enable this service for Get your Guide API".
Click the button to the right of the "TuriTop product ID" code to copy it.
Step 2: Create and Link the Options
Log in to your GetYourGuide supplier panel and click the Manage tab to access your Products.
Once you identify the product you want to connect, click "View details".
Within the product details page, go to the Options section and create the different options using the "Create new option" button. For example, you can create the options "Individual Quad", "Double Quad", "Triple Quad" and "Quadruple Quad".
Once created, you will need to connect them in the standard way, as explained in the connection tutorial.
This will create your product on GetYourGuide with the various ticket options: single, double, triple and quadruple, ready for sale on the platform.
Optional: Tiered Pricing
You can set up tiered pricing for your 2-, 3- and 4-person services (“Quad 2 pax GYG”, “Quad 3 pax GYG” and “Quad 4 pax GYG”) as well as for their corresponding options on GetYourGuide.
Below, we show you how to add a series of price variations so that when your customers select between 2 and 8 tickets for any of your services created for sale on GYG, the total will still be 100 euros (for 1 to 4 passengers), as this would occupy 1 quad, or 200 euros (for 5 to 8 passengers), as 2 quads would be occupied.
This is because sales on GYG are made via a ticket type called "Adult".
This configuration must be carried out both in your TuriTop control panel and in the GetYourGuide panel. To find out how to do this on GetYourGuide, you can consult the relevant article in their Help Centre.
Tiered Pricing in TuriTop
To set up tiered pricing in TuriTop, go to the Services tab >>> PX (“Quad 2 pax GYG”, “Quad 3 pax GYG” and “Quad 4 pax GYG”) >>> Prices and discounts >>> Add Discount. Here you can set up tiered pricing using price variations.
In our example, we have 2 quads with a total of 8 seats. Each quad, regardless of the number of passengers, has a base price of 100 euros. As it is mapped on GetYourGuide, if a customer selects, for example, 1 "Adult" ticket, a full quad is booked and sold for 100 euros.
We must apply this configuration to all our services: “Quad 2 pax GYG”, “Quad 3 pax GYG” and “Quad 4 pax GYG” in the same way.
- Tiered pricing for selecting 2 to 4 passengers (1 quad):
Next, we need to add a tiered pricing so that when two, three or four “Adults” are selected on the GYG platform, the total remains at €100. This is because a single quad is being used with all its seats occupied.
We will configure the price per ticket so that the total for the vehicle is always €100. To do this, we will adjust the value according to the number of passengers: €50 (for 2 people), €33.34 (for 3) and €25 (for 4).
Below, we show you how to configure this using the example of 2 passengers:
2. Tiered pricing for groups of 5 to 8 passengers (2 quads):
Similarly, we need to add a tiered pricing so that when five, six, seven or eight “Adults” are selected on the GYG platform, the total cost remains at €200. This is because two quads are being fully occupied.
We will configure the price per ticket so that the total for the vehicles is always €200. To do this, we will adjust the value according to the number of passengers: €40 (for 5 people), €33.34 (for 6), €28.58 (for 7) and €25 (for 8).
Below, we show you how to set this up using the example of 5 passengers:
In our example, some figures result in prices with decimal places. We recommend always rounding up to the nearest whole number to avoid losses, although this may result in the final price varying by a few pence.
You should repeat this process until your service’s maximum capacity is reached (8 people in this example), setting a price per ticket that ensures full quads are always charged. This ensures that, even if a customer selects more than one adult in your double, triple and quadruple options on GetYourGuide, the prices are charged correctly for each quad used.
Once you have created all the variations, they will be displayed as follows in the list on your dashboard:
Tiered Pricing on GetYourGuide
To set up tiered pricing on GetYourGuide, log in to your supplier panel and click on the Manage tab to go to your Products. Find the product you wish to configure and click on "View details". Once on the product page, go to the Options section and select your options, in our case:"Individual Quad", "Double Quad", "Triple Quad" and "Quadruple Quad", then click on "Edit option".
Next, go to the Availability and Pricing section for each option. To add prices by tier, click on "Add new pricing".
- Pricing Categories: In the Pricing Categories section, select the option "Price depends on category, e.g. child, senior, military etc" and configure your price categories.
- Capacity: Scroll down to the Capacity section (this will be imported automatically from TuriTop).
- Price: Scroll down to the Price section. Here, you must select the option "I will manually add the pricing configuration" and set the prices per tier for each category, ensuring they match the prices you have already set in TuriTop.
Once you have set up tiered pricing on the GetYourGuide platform, your product will be ready for publication as soon as the connection is validated. This setup ensures that the final prices are consistent with those you have set in TuriTop.
